TERMS & CONDITIONS

Agreement to Terms

 

  • Wellness Within Clinic (“Wellness Within,” “Us,” “We,” “Our”) refers to Wellness Within Clinic as an entity. 

  • Patient: (“Customer,” “Client,” “Participant,” “You,” “Your”) refers to the individual who receives products and/or services from Wellness Within Clinic.

  • Website: Refers to the Wellness Within Clinic domain, wellnesswithinclinic.com.au 

  • Services: (“Appointment,” “Consultation,” “Booking”) refers to the arrangement in which Wellness Within Clinic provides naturopathy expertise to a client in exchange for payment.

 

 

Appointment Reschedules, Cancellations & No Shows

 

At Wellness Within Clinic, we highly value our clients' time and appreciate mutual respect in return. With this in mind, we kindly request a minimum of 48 hours' notice for all appointment reschedules and cancellations.

Once your appointment is scheduled, you will receive a confirmation email. A reminder email will follow 3 days before your appointment.

  • Booking deposits can be credited to your client profile if you cancel more than 48 hours before your scheduled appointment time.

  • Cancellations or reschedules made with 48 hours or more notice will not incur a fee.

  • Cancellations or reschedules made within 48 hours of the appointment time will incur a late cancellation fee which will be equivalent to 50% of the cost of the appointment (Initial and Report of Findings appointments $90 fee, Standard appointment $60 fee).

  • A “No Show” is defined as a client who fails to show up to their confirmed appointment, or a client who forgets about their confirmed appointment. All No Shows will be charged the full cost of the appointment. 

  • If for any reason a practitioner from Wellness Within Clinic cannot attend an appointment due to sickness or unforeseen circumstances, the client will be advised as soon as possible. In this instance, Wellness Within Clinic offers the patient the option to reschedule their appointment or receive a full credit of appointment cost, if paid in advance.

Client Intake Forms

​

  • Wellness Within Clinic requires new clients to complete the Client Registration form and the Pre-Assessment Questionnaire at least 24 hours before the scheduled appointment. These forms are included in your booking confirmation email. 

  • If the intake form is not completed before your scheduled appointment, it will need to be filled out during your consultation, which will reduce the time available for your session. To maintain respect for our practitioners and other patients, no additional time will be provided to make up for the lost time, and the full consultation fee will still apply.

 

Minors

 

By using Wellness Within Clinic, you confirm that you are of legal age in your state or territory of residence and accept full legal responsibility for any person in your household or anyone using your electronic device who is under the age of majority in your area. This includes, but is not limited to, any minor dependents who may be accessing our website.

 

You further agree not to provide us, either directly or indirectly, with any personal data or information regarding minors who are twelve years old or younger.

 

You also agree to supervise your minor's use of our website and oversee all communications between our parties.

 

Please note that while we take precautions, not all electronic networks, whether online or private, are fully secure.

 

In Australia, the age of majority is 18 years or older. Any bookings made for individuals who are under the age of majority must be completed by a parent or guardian, who must also provide the minor's details. The parent or guardian must be present during any consultations for individuals under the age of majority.

 

Please note that Wellness Within Clinic does not take on clients under the age of 16.

 

Communication

 

At Wellness Within Clinic, we value clear communication and are committed to providing quality support to our clients. However, please note the following guidelines regarding communication outside of scheduled consultation hours:

 

  • Response Time: we aim to respond to emails and messages within 48 hours, Monday to Friday, during business hours. Please allow additional time for responses on weekends or public holidays.

  • Medical Advice: we are unable to provide medical advice or treatment recommendations via email or other forms of communication outside of consultations. Any health-related inquiries, treatment plans, or medical concerns will only be addressed during scheduled consultation sessions.

  • Non-Emergency Matters: for any questions or general inquiries that are not urgent, please feel free to email us at wellnesswithinclinic@gmail.com. For medical emergencies or urgent concerns, please seek immediate medical attention from your GP, a hospital, or call 000.

 

By contacting us outside of your consultation, you acknowledge that we are unable to provide detailed advice or treatment plans through email or other non-consultation channels.

 

Wellness Within Clinic may use your personal Information to send you newsletters, marketing materials, promotional content, or other information that may be of interest to you. You can opt out of receiving these communications at any time by following the “Unsubscribe” link or the instructions provided in any correspondence from us.

 

Messages sent through Instagram, Facebook, or other platforms are not monitored regularly, so please avoid sending queries through these channels.

Payment

​

  • Initial Appointments: A 50% deposit is required at the time of booking, when booked online. The remaining balance must be paid within 48 hours of the invoice being issued.

  • All appointments, payment deadline: Full Payment must be made within 2 days of the invoice date, as stated on the invoice.

  • Overdue Fees: Failure to pay within 2 days of the invoice date will incur a $5.00 weekly overdue fee, starting 2 days after the invoice date.

  • Collection of Unpaid Fees: If payment is not made in accordance with our terms, Wellness Within Clinic reserves the right to pursue payment for fees, interest, and any costs incurred in recovering the amounts owed.

  • Accepted Payment Methods: We accept payments via EFTPOS, Visa, MasterCard, AMEX, Google Pay, Apple Pay, and Bank Transfer (Osko). For bank transfer details, please email us at wellnesswithinclinic@gmail.com.

  • Non-Refundable Payments: Payments made to Wellness Within Clinic are non-refundable but can be credited to your account.

  • Payment Data Collection: Purchasing products or services from Wellness Within Clinic may require the collection of billing and payment data, including your name, credit card details, billing address, and postcode, by our third-party partners. All transactions are securely encrypted through Stripe Payments Pty Ltd, which complies with Payment Card Industry (PCI) standards and holds PCI Service Provider Level 1 security.

Shipping and Delivery
 

Wellness Within Clinic uses Australia Post services for shipping. Once your parcel is handed over to Australia Post, we have no control over the shipping times or delivery process.

Parcels do not require a signature upon delivery. However, if you would like to request signature confirmation, this can be arranged for an additional surcharge, which will be added to your total order cost.

Please note that once parcels leave our premises, they are no longer our responsibility. This includes, but is not limited to, issues such as failed deliveries, damaged parcels, or parcels that are lost or stolen.

Product Policies

  • Payment must be received in full before products can be dispatched from clinic.

  • All orders are subject to availability. Dispatch times are dependent on availability and may be subject to delays with the shipping service beyond our control. 

  • When purchasing a product, you agree that:

    • You are over the age of majority for your state/territory of residence.

    • You will consult with a health professional before commencing the product. 

    • You do not have any known allergies or contraindications to the ingredients contained in the product. 

    • You are not pregnant. 

  • When purchasing a product, you declare that Wellness Within Clinic is not held responsible to any risks or health outcomes associated with that product. 

 
Modification To the Service & Prices

  • Wellness Within Clinic reserves the right to modify or discontinue any products or services at any time without prior notice.

  • Prices for products and services are subject to change at any time without notice.

  • Wellness Within Clinic is not liable to you or any third party for any modifications, price changes, or discontinuation of products or services.
